Add or Edit an Internal Referent
In Billabex, an internal referent is a member of your team assigned to one or more customer accounts. This person is considered the main point of contact on your company’s side when human intervention is required (e.g., dispute, payment issue, approval).
Assigning a referent to each account helps the AI agent coordinate actions and notify the right person at the right time.
Add an Internal Referent
1. Go to the Accounts module.
2. Select an account from the list.
3. Open the Details tab.
4. In the Internal Referents section, click Add.
5. Fill in the following fields:
- First and last name
- Email address (used for AI agent notifications)
- Role (optional, helps clarify responsibilities to the AI agent)
- Notes (optional, provide context or instructions to the agent)
- Language (used to adjust the language of notifications)
- Primary contact (indicates whether this person is the preferred contact for this account)
6. Click Save.

You can assign multiple internal referents to a single account. The most relevant one will be prioritized by the AI agent based on the Primary referent field.
Edit an Existing Referent
1. Open the customer account.
2. Go to the Details tab.
3. In the Internal Referents section, click the three-dot menu on the referent’s card.
4. Update the necessary fields.
5. Click Save.
Delete an Internal Referent
1. Open the customer account.
2. Go to the Details tab.
3. In the Internal Referents section, click the three-dot menu on the referent’s card.
4. Click Delete.

If no referent is defined, the AI agent will continue sending notifications to the organization’s general users.
