Monitor and Process Tasks

In Billabex, tasks are automatically generated by your AI agent whenever human intervention is required. They help streamline collaboration between your team and the AI agent, while keeping a documented history of each case.

Accessing Tasks

1. Click on the Tasks module in the navigation bar.
2. By default, the list displays only:
  1. Tasks assigned to you
  2. Tasks with the status “Action Required

Understanding How Tasks Work

Creation and Updates

Tasks are created and updated by the AI agent.
They can originate from:
A trigger event on a customer account (e.g., dispute, request, anomaly)
A request from a team member (e.g., “verify information”)

Assignment

By default, all members of your organization are automatically assigned to new tasks.

Available Statuses

In Progress
Action Required
Closed
In Progress
The task is open, awaiting context or being processed by the AI agent. No action is required.
Action Required
The AI agent is waiting for input or validation from an assigned user.
Closed
The task has been resolved (automatically or manually).
Info Only tasks marked “Action Required” need your attention.

Viewing a Task

1. Click on any task in the list.
2. A side panel opens showing:
  1. Subject and related account
  2. Message from the AI agent
  3. Interactions between the agent and assigned members
  4. List of responsible assignees
At the bottom:
The activity feed with replies, updates, comments, and validations.

Responding to a Task

You can respond to a task in two ways:

1. From the App
  1. Use the “Reply” field at the bottom of the side panel
  2. Your response will appear in the activity feed
2. By Email
  1. If you receive an email notification, reply directly by email
  2. Your response will be added automatically to the task thread

Task Notifications

1. Critical Task (e.g., dispute, payment plan, contact request, disagreement)
  1. Immediate email alert to assigned users
2. Non-Critical Task (e.g., confirmation, internal follow-up)
  1. Summary email sent every Tuesday and Thursday morning, listing all open tasks (i.e., not yet closed)
