Monitoring and Processing Tasks

In Billabex, tasks are automatically generated by the AI agent when human intervention is required. They streamline coordination between the AI agent and your team, while maintaining a documented trail of every situation.

Accessing tasks

1. Click on the Tasks module in the navigation bar.
2. By default, the list shows only:

  1. Tasks where you are assigned
  2. Tasks with a status of "Action required"

Understanding how tasks work

Creation and updates

  1. Tasks are created and updated by the AI agent.
  2. They originate from a trigger event on a customer account (validation, request, dispute, etc.)

Assignment

  1. By default, all members of your organization are automatically assigned when a task is created.

Available statuses

Action required
Awaiting response
In progress
Closed
Cancelled
Action required
The AI agent has flagged a customer request and is waiting for a response or validation from an assigned member.
Awaiting response
The AI agent has followed up with a customer and is waiting for their reply.
In progress

The task is open, awaiting context, or being tracked by the AI agent. No action required.

Closed

The task has been resolved (automatically or manually).

Cancelled
The task has been cancelled — either manually by a member or automatically by the AI agent — because it became unnecessary or obsolete.
Info Only "Action required" and "Awaiting response" tasks require your intervention.

Viewing a task

1. Click on a task in the list.
2. The task detail opens in a side panel:
  1. Subject and related account
  2. AI agent message
  3. Interactions between assigned members and the AI agent

Responding to a task

To process a task:
  1. Go to the platform > Tasks
  2. Use the "Reply" field at the bottom of the side panel showing the task detail
  3. Your response will be added to the conversation thread

Task notifications

No notifications or reminders are sent. Task management and its frequency are left to your discretion.
