Ask the AI Agent to Pause or Resume a Follow-Up Sequence

Pause, Accelerate, or Resume an Action

In some situations, you may want to adjust the rhythm or flow of the current follow-up plan — temporarily pause messages, accelerate contact with a client, or even stop all communications for a specific account.

While these actions can’t be directly modified from the platform, the AI agent can adapt its behavior upon explicit request.

How to Submit a Request

By email

Send a message directly to your AI agent’s email address.
In this case:
  1. The agent will reply via email.
  2. A follow-up task will be automatically created to track the request.

Via an existing task (status: “In Progress” or “Action Required”)

You can reply directly in the activity thread. The AI agent will respond within the same task as long as it remains open.

If your message is sent outside a task context (e.g. via email), make sure to include the name of the account involved and, if needed, the relevant invoice references.

Pause Follow-Ups for an Account

You can request the AI agent to pause all ongoing communications for a specific account, either temporarily or permanently.

Common reasons include:
  1. Legal or contractual dispute in progress
  2. Internal or client-side hold on communication
  3. Sensitive context (VIP client, internal review, etc.)

What happens next: Once confirmed, the AI agent immediately suspends the follow-up plan for the account. An alert icon appears next to the account name in the Accounts module to indicate the pause.

Accelerate a Follow-Up

Want to follow up sooner than scheduled? For example:
  1. Critical payment deadline
  2. Immediate opportunity to contact the client
  3. Manual reminder needed quickly
Simply ask the AI agent to send a message as soon as possible — the follow-up plan will be adjusted accordingly.

Resume Follow-Ups After a Pause

To resume follow-ups:
  1. Reply to the original task (if still open), or
  2. Send a new email to the agent with full context

If the client’s outstanding balance is now zero (e.g., all invoices are paid), you’ll need to manually update the payment amounts from each invoice’s detail view.

What the AI Agent Can’t Do

The AI agent does not handle internal reminders for scheduled team actions.

For example, it cannot:
  1. Set a reminder to “call the client in two weeks”
  2. Notify a team member on a specific date

For those needs, use your internal task management tools.
